The best AI recruiting setup for a small team is usually one applicant tracking system (ATS) with AI built in, plus at most one specialist tool for the step that slows you down. Workable and Ashby are the strongest starting points with published prices. Add Juicebox or HeroHunt.ai if you struggle to find candidates, and Metaview if interview notes eat your week.

This guide is for founders, office managers and first recruiters at companies of roughly 10 to 200 people. For the full list by job, see our best AI tools for recruiters and HR.

Key takeaways

  • Workable lists Standard from $299 a month and includes 3,000 AI credits on every paid account. Its trial is 15 days with no credit card, but the trial does not include the Workable Agent.
  • Ashby Foundations costs $400 a month for companies of up to 100 employees, with 1,500 AI credits a month and 10% off for annual billing.
  • Teamtailor and Greenhouse quote prices on request. Teamtailor lists its AI as included with unlimited usage.
  • For sourcing, Juicebox has a free plan and Starter from $99 to $119 a seat a month. HeroHunt.ai sizes plans by profiles and emails a month.
  • Metaview has a free notetaker plan with 25 calls a month. Findem does not publish prices.

What does an AI recruiting stack look like for a small team?

Most hiring work falls into three steps, and AI helps in a different way at each one:

  1. Track and screen applicants. The ATS posts jobs, collects applications and moves candidates through stages. AI now reads applications against your criteria, suggests interview questions and writes job ads.
  2. Find people who did not apply. Sourcing tools search public profiles from a plain-language description of the role and send outreach.
  3. Run and record interviews. Notetakers record calls and draft scorecards so the interviewer can listen instead of type.

A small team rarely needs all three as separate products. Start with the ATS, run two or three hires through it, then buy a specialist tool only for the step where you lose the most time.

Which ATS should a small team pick?

Workable is the easiest to budget for. It publishes three plans: Standard at $299 a month, Premier at $599 a month and Enterprise at $719 a month, with prices set by employee band. Premier and Enterprise are billed annually. Every paid account gets 3,000 AI credits. Screening a candidate costs 1 credit, adding a passive candidate costs 2 and a chat with a candidate costs 10, so the included credits cover roughly 3,000 screened applicants or 1,500 sourced profiles. Extra credits start at $600 for 5,000. Workable says its agent screens applicants against up to 14 job criteria, shows its reasoning and lets recruiters override any decision. It also covers onboarding, time off and performance reviews, which matters if you have no HR system yet.

Ashby suits startups that plan to keep growing and care about reporting. Foundations is $400 a month for up to 100 employees, with a 10% discount on annual commitments. The pricing page lists AI candidate search, AI-assisted application review, AI interview summaries and custom AI agents, with 1,500 AI credits a month on Foundations. The AI Notetaker is a paid add-on. Plus (101 to 1,000 employees) and Enterprise are quoted.

Teamtailor fits teams that care about employer brand and a good-looking careers site. It does not publish prices and quotes after a short form, but it lists Teamtailor AI as included with unlimited usage, so you will not meter AI screening the way you do on credit-based tools.

Greenhouse is the established choice for structured hiring. Pricing is quoted on Core, Plus and Pro. The Core plan already lists the AI Notetaker, Talent Matching, scorecard and interview question suggestions and job post suggestions. For a team under 50 people it can be more process than you need; see our Greenhouse alternatives for lighter options.

When is a separate AI sourcing tool worth it?

Buy a sourcing tool when inbound applicants do not cover the roles you need, typically for engineering, sales leadership or niche specialists.

Juicebox lets you describe a role in plain language and returns ranked candidates. The free plan has limited searches, 5 one-off contact credits and no exports, which is enough to test search quality. Starter is $99 or $119 a seat a month depending on billing term, with unlimited searches and 500 contact credits a month. Background sourcing agents are an add-on at $199 per agent a month. Note that the pricing table shows ATS integrations on the Business plan only.

HeroHunt.ai works more like an outsourced sourcer. Its AI Recruiter searches over 1 billion public profiles, scores them against your requirements and sends outreach by email and LinkedIn. Plans are sized by volume: Starter covers 2,000 profiles and 500 emails a month, Pro 5,000 and 1,000, Team 25,000 and 4,000. The plans page does not list prices. The 8-day trial includes 150 screened profiles and 75 emails and converts to a paid plan automatically, so set a reminder.

Metaview also sells sourcing: free for your first 100 profiles, Pro at $100 a user a month for 200 profiles, and Max at $300 with no profile cap.

Findem is built on people data and relationship signals, and it markets to startups, executive search firms and VC and PE talent teams. It does not publish prices: the pricing page offers a demo, and anyone can try an expert-built agent in Findem Studio for free. If you need predictable monthly costs, one of the tools above is easier to plan around.

Do you need an AI interview notetaker?

If you run more than ten interviews a week, probably yes. Metaview is the specialist here. Its free Notetaker plan covers 25 calls a month with basic transcription, and Pro is $60 a user a month for unlimited calls. Greenhouse includes an AI Notetaker on Core, and Ashby sells one as an add-on, so check your ATS first.

General meeting notetakers can work for early-stage teams, but they do not write recruiting scorecards. Our AI meeting assistants guide compares them.

What does a small-team setup cost?

Rough monthly examples from list prices, before discounts and add-ons:

  • Lean: Workable Standard ($299) with Metaview's free notetaker. About $299 a month.
  • Growing startup: Ashby Foundations ($400) plus one Juicebox Starter seat on monthly billing ($119). About $519 a month, or $718 with one Juicebox sourcing agent.
  • Hard-to-fill roles: Your current ATS plus HeroHunt.ai or Juicebox, trialed on one open role before you commit.

What about bias, data and the EU AI Act?

The EU AI Act classes AI systems used for recruitment and selection as high-risk. That brings duties for vendors and for the companies that use them, including human oversight. In practice:

  • Keep a person making every reject and advance decision. Workable, for example, lets recruiters override any agent decision.
  • Ask each vendor how it tests screening for bias and get the answer in writing.
  • Check where candidate data is stored and for how long, especially if you hire in the EU.
  • Write down how your team may use AI in hiring. Our AI usage policy guide has a section on decisions about people.

How should you choose?

  1. List your next six months of hires. A few generalist roles point to an ATS alone. Several hard-to-find roles point to an ATS plus sourcing.
  2. Decide on published prices or a quote. Workable, Ashby Foundations, Juicebox and Metaview let you see costs up front. Teamtailor, Greenhouse, HeroHunt.ai and Findem need a conversation.
  3. Trial on a live role. Run one real opening through the tool and count hours saved and qualified candidates found.
  4. Check the paperwork. Our AI vendor security checklist lists the questions, and the free AI tool vendor evaluation scorecard helps you compare two or three vendors side by side.

Bottom line

For most small teams, pick Workable if you want published prices and HR features in one place, or Ashby if you are a growing startup that wants strong reporting at $400 a month. Add Juicebox when you need to find candidates who will not apply, and Metaview when interviews pile up. Browse everything in HR and recruiting for more options.

Frequently asked questions

What is the best AI recruiting tool for a small company?+

For most companies hiring a handful of people a year, start with an applicant tracking system that has AI built in. Workable publishes its prices and includes AI screening credits, and Ashby Foundations costs $400 a month for companies of up to 100 employees. Add a sourcing tool such as Juicebox or an interview notetaker such as Metaview only when that step is the bottleneck.

How much does Findem cost?+

Findem does not publish prices. Its pricing page asks you to request a demo, and it lets anyone try an expert-built agent in Findem Studio for free. Expect a quote based on your hiring needs rather than a self-serve plan.

Which AI recruiting tools have a free plan?+

Juicebox has a free plan with limited searches and 5 one-off contact credits. Metaview has a free Notetaker plan with 25 calls a month and a free Sourcing plan for your first 100 profiles. Workable offers a 15-day free trial and HeroHunt.ai an 8-day trial.

Do I need a separate AI sourcing tool if my ATS has AI?+

Not always. Workable and Ashby both include AI candidate search or sourcing features. A dedicated tool such as Juicebox or HeroHunt.ai makes sense when you hire for hard-to-find roles and inbound applicants are not enough.

Is AI screening of candidates legal in the EU?+

It is allowed, but the EU AI Act classes AI used for recruitment and selection as high-risk, which brings obligations for providers and the companies that use it. Keep a human making the final decision and ask each vendor how it documents and tests its screening.
